Administrator

Position Overview:

The Malta Entertainment Industry Association (MEIA) is seeking a dedicated Administrator to support the organisation in its operational and administrative functions. This role is a contract for service, requiring 25 hours per week, with an initial probation period of 3 months. The position is remote allowing for flexibility in work location within Malta, however the candidate will be expected to meet members of the executive at least once every three weeks and be present at all the events and workshops. 

 

Responsibilities:

  • Meeting Coordination: Organise and follow up on meetings for the President, Vice President, Executive Committee, Advisory Committee, and Subcommittees.
  • Minute Taking: Document minutes for committee meetings as required.
  • Administrative Support: Manage the main administrative tasks related to MEIA’s obligations as a registered voluntary organisation.
  • Membership Management: Maintain the list of members, assist with membership drives, and engage in outreach initiatives.
  • Social Media Management: Assist with the management of MEIA’s social media accounts and monitor email communications.
  • Event and Programme Organisation: Support the planning and execution of events, workshops, and initiatives funded by ArtsCouncil Malta, including reporting and project implementation.
  • Daily Operations: Carry out various administrative duties essential for the day-to-day functioning of MEIA.
  • Research: Manage surveys and international research case studies

 

Qualifications:

  • A degree or diploma in cultural management, communications, media, or a related field is preferred.
  • Experience or knowledge of the arts and/or entertainment industry is advantageous.
  • Proficiency in tools such as Canva, WordPress, Google Drive, Mailchimp, Typeform, and Zoom is considered as an asset.
  • Candidates must possess their own VAT number and be responsible for their tax and social security contributions.
  • Languages English and Maltese preferred

  • Excellent communication abilities, both written and verbal.

Project Manager (Temporary contract)

Position Overview:

We are seeking a highly motivated Project Manager to oversee the planning, execution, and successful completion of the MEIA Conference. The Project Manager will coordinate all aspects of the event, ensuring alignment with organisational goals and stakeholder expectations. This is a 5 month service provider contract based on the overall project.

 

Responsibilities:

  • Project Planning: Develop a comprehensive project management plan in collaboration with MEIA Executive Committee that outlines the scope, objectives, deliverables, and timeline for the MEIA Conference.
  • Budget Management: Create and manage the project budget, ensuring all expenses are tracked and reported accurately.
  • Team Coordination: Assemble and lead a cross-functional team, assigning tasks and responsibilities to ensure project milestones are met.
  • Stakeholder Communication: Maintain clear communication with stakeholders, providing regular updates on project status, challenges, and solutions.
  • Risk Management: Identify potential risks to the project timeline or budget and develop mitigation strategies to address them proactively.
  • Event Logistics: Oversee all logistical aspects of the conference, including venue selection, vendor management, scheduling speakers, and coordinating attendee registrations.
  • Quality Assurance: Ensure that all project deliverables meet quality standards and align with the conference’s goals.

 

Qualifications:

  • Experience: Minimum of 3 years of project management experience, preferably in event planning or conference management.
  • Skills:
  • Strong leadership abilities with experience managing diverse teams.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and manage multiple priorities simultaneously.
  • Strong problem-solving skills with a proactive approach to challenges.

Social Media & Marketing Manager

Position Overview:

MEIA is seeking a dynamic and creative Social Media and Marketing Manager to enhance our online presence and engage with our community. This role will be pivotal in developing and executing comprehensive marketing strategies across various platforms, ensuring alignment with our mission to support the creative industries in Malta. The ideal candidate will possess a blend of marketing expertise, social media savvy, and a passion for the arts and entertainment sector. 

 

Responsibilities:

  • Strategy Development: Create and implement effective social media and marketing strategies that align with MEIA’s goals, enhancing brand visibility and engagement.
  • Content Creation: Produce high-quality, engaging content for various platforms including Facebook, Instagram, Twitter, and LinkedIn. 
  • Community Engagement: Actively manage MEIA’s social media accounts, responding to comments and messages in a timely manner to foster community interaction.
  • Use of Mailchimp for monthly newsletter.
  • Analytics Monitoring: Utilise analytics tools to track performance metrics, analyse data trends, and adjust strategies accordingly to optimise engagement and reach.
  • Campaign Management: Plan and execute marketing campaigns that promote MEIA initiatives, events, and programs while ensuring consistent brand messaging.
  • Collaboration: Work closely with the Executive and Advisory Committees to ensure cohesive messaging across all marketing channels and initiatives.
  • Trend Analysis: Stay updated on the latest social media trends, tools, and best practices to keep MEIA’s online presence relevant and competitive.

 

Qualifications:

  • Education: Bachelor’s degree in Marketing, Communications, or a related field.
  • Experience: Minimum of 3 years of experience in social media management or digital marketing.
  • Skills:
    • Proficient in using social media platforms and analytics tools (e.g., Google Analytics, Hootsuite).
    • Strong written and verbal communication skills with excellent copywriting abilities.
    • Creative mindset with the ability to generate innovative ideas for content.
    • Familiarity with graphic design tools (e.g., Canva, Adobe Creative Suite) is a plus.
    • Strong organisational skills with the ability to manage multiple projects simultaneously.
